Privacy Policy

This policy explains what personal data Votarena (“Votarena”, “we”) collects when you use our site and services (accounts, voting, ticketing, events), why, who it is shared with, and what your rights are.

1. Data controller

2. Data we collect

  • Account: name, email address, password (stored encrypted / hashed, never in clear text), profile picture and bio if any, role (voter, organiser, administrator).
  • Social sign-in: if you sign in through Google, Facebook or Apple, we receive your name and your email address from those services (and your profile picture, where applicable).
  • Voting: phone number (Mobile Money payment), number of votes and payment reference.
  • Ticketing: the buyer’s name and phone number, order details, tickets issued (QR codes / short access code).
  • Payments: payments are handled by our providers (see §4). We keep the transaction reference, the amount and the status — not full bank card details (those stay with the payment provider).
  • Interactions: comments, reactions (likes / dislikes), favourites, shares and your public activity feed.
  • Messaging: when a ticket is sent to you on WhatsApp, your number is used to deliver the message through the WhatsApp Business API.
  • Media: images and videos you upload (posters, avatars, content).
  • Technical data: session identifiers, device / browser type, IP address, pages viewed, as well as error logs and usage statistics for security and improvement purposes.
  • Buying as a guest: if you buy without an account, your order identifier is kept locally in your browser (localStorage) so you can find your tickets again; it is attached to your account if you sign in afterwards.

3. Purposes — why we use your data

  • Provide and manage your account and the services (voting, ticketing, events).
  • Handle payments and issue / deliver tickets.
  • Keep the service secure and prevent fraud and abuse (e.g. double-vote protection).
  • Contact you about your orders / your account.
  • Measure audience and improve the service.
  • Meet our legal and accounting obligations.

Depending on the case, this processing relies on performance of the contract (providing you with the service), your consent (e.g. social sign-in, WhatsApp delivery), our legitimate interest (security, improvement) or a legal obligation.

4. Sharing with providers (processors)

We do not sell your data. We share it only with providers who help us deliver the service, strictly to the extent necessary:

  • Hosting: Vercel (application) and MongoDB Atlas (database).
  • Media: Cloudinary (image / video storage and delivery).
  • Payments: NOKASH (Mobile Money) and Tara / Taramoney (Mobile Money, Wave, bank card) — card payment takes place on their secure page.
  • Messaging: Meta / WhatsApp Business (ticket delivery).
  • Social sign-in: Google, Facebook, Apple.
  • Technical monitoring / analytics: Sentry (errors) and Vercel Analytics.

These providers may be located outside your country; we make sure such transfers are properly framed.

5. Cookies and local storage

We use a session cookie to keep you signed in, audience measurement, and your browser’s local storage for certain features (e.g. tracking tickets bought as a guest). You can manage / clear cookies through your browser; some are necessary for the service to work.

6. Data retention

We keep your data for as long as your account is active and as long as necessary to provide the service, then for the period required by our legal and accounting obligations. The data may then be deleted or anonymised.

7. Security

Passwords are hashed (never stored in clear text), exchanges are encrypted (HTTPS), and access to data is restricted. As no system is infallible, we cannot guarantee absolute security.

8. Your rights

You can ask to access your data, to have it corrected or deleted, or object to certain processing, by writing to us at durin@tasondock.com. For social sign-in, you can also revoke Votarena’s access from the settings of your Google, Facebook or Apple account.

9. Minors

The service is not intended for people under [age]. If you believe a minor has given us data, contact us so that it can be deleted.

10. Changes

We may update this policy. Where a change is significant, we will say so on this page by updating the date above.
